What is Microsoft Forms?

MS Forms is an easy-to-use Forms building service. It allows you to quickly create online forms or polls that can be shared either within your organisation or to people externally.

Is MS Forms free?

Microsoft Forms is part of a Microsoft 365 subscription so most people will have access to it. People who don’t have a 365 license are still able to complete a form they have been send or take part of a Poll without needing any 365 license.

Can someone completing a MS Form attach or upload documents with their submission?

If the person completing the MS Form is internal to your organisation and has a 365 license, then yes that can attach documents to forms they complete. If they are external, then they cannot upload attachments. Workarounds can be put in place using Power Automate / OneDrive / SharePoint to allow external users to submit attachments.


Who uses MS Forms?

Businesses of all sizes user MS Forms, as it comes with Microsoft 365. It is the perfect solution to capturing feedback or getting peoples opinion on subjects.


What are the typical use cases for MS Forms?

There isn’t really a typical use case. Organisation use it to replace all sorts of legacy paper-based documents or processes were people used to send the data in via email and then someone would have to collect all the responses into Excel. Its very common for HR to use MS forms to get managers to let them know about new starters or leavers. Health and Safety departments may have a form for people to submit incidents. While the Training department could use forms for staff to register there interest in courses or to give feedback on training that they have been on.


Does MS Forms integrate with other 365 services?

Out of the box MS Forms is really a standalone service, the responses to polls etc.. can be downloaded into Excel. However 365 services like Power Automate can take the data completed in a form and move it into say SharePoint, a PowerApp or send it via email etc…

How do user access MS Forms?

Once the form is created, you can share this with users either internally or externally via a URL or provide them a QR code. Often MS Forms are added onto SharePoint intranets or shared via MS Teams


Can I customise the look of Microsoft Forms?

You can add graphics and change the colour branding of the MS Form you create to make it conform to your company colours. It isn’t possible to change the default layout of the MS Form. If customised layouts are needed, then we generally recommend using PowerApps to do this.
